Coventry City Council’s Family Hubs online portal provided avaluable opportunity to demonstrate how the Beebot AI digital platform can revolutionisethe day-to-day operations of UK councils. By collaborating closely with theFamily Hubs team, Beebot AI developed a cutting-edge digital solution tailoredto meet the council's unique needs.
Coventry City Council’s Early Help service sought a robust digital front door for all Family Hubs services and information, as well as for Special Educational Needs and Disabilities (SEND) services. The existing resources were fragmented, and as part of the transformation within the Family hub and Strat for Life offer, the teams needed a solution that could:
. Integrate Services: The new platform aimed to resolve the fragmentation by integrating all services into a seamless digital experience.
. Personalise Support: The council wanted to personalise and localise support, ensuring that information and experiences were relevant to individual users.
. Support Events and Partners: Enhancing support for events and partner organisations was another critical goal, enabling better collaboration and community engagement.
. Meet DFE Requirements: The implementation needed to comply with the Department for Education’s (DFE) requirements, ensuring that all statutory obligations were fulfilled.
The collaboration with colleagues within Coventry City Council resulted in a modern, user-friendly platform with the following features:
· Website and Desktop App: A versatile platform accessible via web browsers and desktop applications.
· Mobile App: A dedicated mobile application for convenient access on the go.
· Single Point of Access: A unified access point for all services, simplifying the user experience.
· Clear Signposting System: An intuitive system for navigating services, ensuring users can easily find what they need.
· Notification System: Automated notifications for resident appointments, keeping users informed and engaged.
The newly launched Digital Coventry Families Hub significantly enhances the council’s ability to serve its residents by providing:
· 24/7 Virtual Assistant Support: Round-the-clock assistance through an AI-powered virtual assistant.
· Easy Access to Services: Simplified access to a wide range of services, improving user convenience.
· Trusted Advice: Reliable and accurate advice to support families in making informed decisions.
· Automated Information: Automated dissemination of information, ensuring timely updates and responses.
The Beebot AI platform is designed to cut costs and improve efficiency. By automating routine queries and providing accurate, fast responses, the platform reduces the demand on customer service teams. This enables staff to focus on more complex tasks and strategic projects, thereby enhancing overall service delivery.
Coventry City Council conducted a comprehensive tender process to identify the best solution provider for their needs, and Beebot AI was awarded the grant. The decision was based on several critical factors:
· Comprehensive Solution: Beebot AI is the only organisation capable of consolidating all of Coventry’s services and resources into a single, cohesive digital platform. This capability to unify disparate systems was a key requirement for the council.
· Expertise and Experience: Our proven expertise in delivering scalable, secure, and innovative solutions was highly attractive to Coventry City Council. Our track record in similar projects demonstrated our ability to meet and exceed expectations.
· Accelerated Time-to-Value: Beebot AI’s platform is designed to deliver quick results, reducing the time needed to see tangible benefits from the new system. This efficiency was crucial for the council’s strategic objectives.
“We have enjoyed working with Beebot on developing our online platform as the digital “one stop shop” for families and front-line services to help residents get the right help at the right time with the right people. We have seen the enthusiasm for the AI product right there and then with professionals launching in and using the app, downloading it in seconds, and finding all the core features easy to find and use. It’s a clear indication that AI will play an integral part in UK councils in the years ahead, making it important for Coventry City Council and others to start adopting the technology. There is stalk lots of work to be done but we are pleased to be on this journey or transforming our resident’s experience.” - Jane Moffat, Operational Lead, Early Help
